Messages provides a way to broadcast exceptional and important information to operators outside routine eChecksheet data collection. Messages are integrated and operate with eChecksheets but are managed outside the usual eChecksheet version management flow. This is because Messaging is intended to communicate with operators in a timely manner about unusual events or items that require special attention.
Examples of use of Messaging includes alerts or special instructions about test runs, field issues, or company / team events can all conveyed with Messages.
Messages are broken down into three types, 1. Alerts and 2. Bubble Ups .
1. Alert - an Alert notifies the operator of the current issue or outstanding need which has to be met. The alert can be set by the administrator to always be on, repeated at an interval, or as a one-time notification per user.
2. Bubble Up - the Bubble Up provides a means to target an existing eCheckitem for special attention and treatment. When entering an eChecksheet with a Bubble Up, the specified eCheckitem is is brought to the top of the eChecksheet, surrounded with a bright color and may require special interaction. Specifically the administrator can can force interaction and prevent track out prior to completion of the Bubble Up.
To set any of the messages up:
1. Select Site Settings
2. Select Message Management at the Left Nav.
3. Click on New Message.
Fill out the form as shown below:
- Message Name: A unique identifying name, displayed for planners to organize their messages
- Message Reason: Additional details about the message to help planners keep organized
- Start Date / Expires: Date range during which the message will be displayed
- Breadcrumb: Optional selections to target which locations and products will see the message. If not specified the Message is displayed every time an operator enters an eChecksheet
Then click on the type of message you want the operators to see from the types of message step info shown in the diagram below.
Alert
While setting up the message checksheet alert, you can set the alert to always be on, to alert once, or repeated. You can also require the operator to confirm the message.
Also, it is important to know that the Alert message, if set to require user confirmation, takes over the operator's screen till they confirm and click on close, before it disappears.
Notifications
Our notification system is designed to keep your team informed and responsive, offering delivery options tailored to your preferences. Notifications can be sent via Email or SMS, depending on the selected delivery method.
SMS Notifications
To enable SMS notifications, ensure that users in the assigned group have their phone numbers saved in their user accounts. Without a valid phone number, SMS notifications will not be delivered.
Assigning Notification Groups
You can select the group of users you want to receive notifications. These groups will be notified based on the chosen delivery method—email, SMS, or both.
Notification Triggers
Notifications are triggered by one of the following key events:

Any Defect:
- When any defect is saved on a checksheet within the designated breadcrumb path, a notification will be sent to the assigned group.

Checksheet Edit:
- Any edits made to a checksheet and saved will trigger a notification. This ensures that your team stays up-to-date on changes in real-time.

Specific Defect:
- Notifications can be configured to trigger when a specific defect is saved, allowing for heightened focus on critical or recurring issues.
This flexible and efficient system ensures that your team receives timely updates, enabling prompt action and streamlined communication.
